New Calendar UI for Staff

Staff will have a refreshed calendar page rolled out to web and app stores starting February, 2025.

An update will soon be rolled out to staff in phases on web and via the app stores. Managers can get a preview of the web version via https://app.utrac.online/

Note: Some staff have been reporting issues with shifts not loading after updating on Android. Closing the app and logging out and back in after opening it again should resolve the issue.

What's New

Upcoming Shifts View

  1. The 'Upcoming' section on the My Jobs page will be renamed to 'Calendar' and will contain a classic calendar style interface so that staff can easily find upcoming shifts indicated by green icons under each date they are due to work. This replaces the old list view of shifts which can become hard to navigate for staff members with a lot of upcoming shifts.

  2. Personal shift requests are now visible on the main Calendar view rather than only in the Job Board tab. They will be highlighted with purple icons to distinguish them from confirmed shifts.

  3. Staff can select a date on the calendar to view more details about what is scheduled on that date and then click a shift to view more information similar to the older interface.

  4. Supervisors may access their digitized Sign In Sheets from the calendar by clicking into a shift they are booked, and selecting the 'View Team' option.

Availability Management

  1. Staff will be able to submit their leave requests directly from the Calendar view in the My Jobs page without having to navigate to the Availability page via the menu.

  2. All staff can submit leave requests for dates they are not already working. New requests will require approval from a manager and will be highlighted grey on the calendar with a note that it is 'pending approval' while approved leave requests are highlighted red to indicate days they are not available to work.

    Staff will not be able to submit requests for days they are already working.

Other Changes

  1. The Review tab on the my jobs page has been moved to the swipe menu on the left hand side of the screen.

  2. Staff will have direct access to How To Guides and resources via a dedicated staff Help Centre via the left hand sidebar.

  3. General UI changes and Bug Fixes.

How to Prepare

Here are some things that you will need to be aware of to help your company prepare for the coming update.

  1. The update will log staff out of uTRAC meaning they will need to remember their usernames and passwords or reset their password to successfully log back in.

  2. Staff will receive push notifications prior to the update's roll out to the app stores directing them to information about the update.

  3. A preview of the update will be released to managers to familiarize themselves with the new UI prior to being released to staff. The link to the preview will be available here as soon as it is available.

  4. The update will not be applied to all devices at the same time to allow us to manage the rollout better. Specific roll out timelines will be updated here as we progress with each release.

  5. You may notice an increase in the number of leave requests due to its increased prominence in the app.

    Note: This update will include a check for any conflicting shifts upon submission of a leave requests so staff cannot ask for time off while booked.
