How to find available staff for a shift

Managers can quickly find staff that are available to work a specific time via the Planner page

Step 1: Open 'More Filters' on the Planner Page

On the Planner Page, click the 'More Filters' option to open the staff advanced search options on the left-hand sidebar.

Step 2: Filter by Attributes (Optional)

Filter staff by their set locations and their skills/labels.

Step 3: Filter by Availability

Option 1: Right click a shift and select 'Find Available'

This will automatically filter your staff list showing only staff that have been set as available to work during the selected shift times and who've not already been assigned to a conflicting shift.

Option 2: Filter interested + available staff via Job Board filters

If you've posted a shift to Job Board, you may filter for both staff that have expressed interest in working the shift via the uTRAC App and that are also available to work the shift.

To do so, right-click any shift currently posted to Job Board, then select the option to filter by Interested + Available'.

Option 3: Manually set the availability periods

  1. Navigate to 'Availability Filters' in the advanced search options.

  2. Select if you want to find Available, Unavailable, or Open staff.

    1. Available: Staff that are set as available to work and have not been scheduled to work within the filtered period.

    2. Unavailable: Staff that are set as unavailable to work or have been scheduled to work within the filtered period.

    3. Open: Staff that have no pending or confirmed availability and have not been scheduled to work within the filtered period.

  3. Next, input the date and time periods you wish to filter. Note when selecting a time, be sure to select the time first before selecting the date for the filters to apply.
